Refund Policy

Last updated: January 1, 2025. Our fair and transparent approach to refunds.

Our philosophy: We believe in fair dealings. We don’t hide behind fine print. If we haven’t delivered what we agreed, we’ll make it right โ€” through fixes, re-work, or fair compensation. Read the details below.

1. General Principles

Vedhin Technology’s services are professional services. Once work begins, costs are incurred for developer time, project management, and infrastructure. Our refund policy reflects this reality while being fair to both parties. Our primary commitment is to deliver what we agreed โ€” refunds are a last resort, not a first option.

2. Fixed-Price Projects

  • Before work begins (pre-kickoff): If you cancel before the project kickoff meeting, the deposit will be refunded in full, less any bank transfer fees.
  • After project kickoff but before 50% completion: A partial refund may be available, calculated as: deposit amount minus the cost of work completed at our standard hourly rate (documented in work logs).
  • After 50% project completion: No refund is available, as significant resources have been committed. You will receive all deliverables completed to date.
  • Milestone payments: Payments made for completed milestones are non-refundable. If you are dissatisfied with a milestone delivery, raise the issue within 7 days and we will rework it at no charge before proceeding.
  • Final payment after delivery: The final payment is non-refundable once the client has approved the delivery in writing (email or signed approval).

3. Staff Augmentation

  • 2-week trial period: If you are not satisfied with the developer during the first 2 weeks, you are entitled to a full refund of the trial period payment OR a free replacement developer โ€” your choice.
  • After 2-week trial: Payments for completed work are non-refundable. If you are dissatisfied with a developer’s performance, escalate to your account manager. We will address performance issues within 5 business days.
  • Unused hours (prepaid packages): If you have prepaid for a block of hours and wish to stop before using them, unused hours are refundable minus a 10% administrative fee, provided the request is made within 30 days of the last invoice.

4. Grounds for Refund Request

A refund may be considered when:

  • Vedhin fails to deliver agreed work within the timeline specified in the project agreement and has not provided a mutually agreed revised timeline.
  • Delivered work does not meet the specifications agreed in the signed SOW after 2 rounds of revision.
  • Vedhin is unable to provide the agreed service due to circumstances on our side.

Refunds will not be considered based on: change of mind, change in business direction, client’s failure to provide necessary inputs on time, or dissatisfaction with inherent limitations of agreed technologies.

5. Refund Process

To request a refund, email info@vedhin.com with subject “Refund Request” including: your project name, invoice number(s), reason for the request, and what resolution you are seeking. We will respond within 5 business days with our assessment. Approved refunds are processed within 15 business days via the original payment method.

6. Disputes

If a refund request is disputed, both parties agree to attempt resolution through good-faith negotiation first. If unresolved after 30 days of discussion, either party may refer the matter to mediation in Jaipur, Rajasthan, India under the Mediation Act, 2023 before pursuing litigation.
